ScoutBridge helps high-school athletes reach college coaches. Because most of the people we serve are minors, we treat their information with more care than the law strictly requires, and we try to explain what we do in plain language. This page describes what we collect, why we collect it, and the choices your family has. If anything here is unclear, write to us at privacy@scoutbridgesports.com and a real person will answer.
Who this policy is for
ScoutBridge is bought and controlled by a parent or legal guardian on behalf of their athlete. A parent creates the account, approves the service, and pays for it. The athlete has their own login to see their dashboard and inbox and to keep their profile current. Both people are covered by this policy, and both can see the same recruiting inbox.
Consent, and why we ask for it twice
We collect consent from the parent and from the athlete, separately, at signup. The parent reviews and approves the service, the monitored mailbox described below, our terms, and this privacy policy. The athlete separately acknowledges that ScoutBridge will send recruiting outreach on their behalf and signs their own name. No outreach is sent until both consents are on file.
For athletes under 13, ScoutBridge follows the verifiable-parental-consent standard set by the U.S. Children’s Online Privacy Protection Act (COPPA): the account is created and verified by the parent, the parent controls it, and the parent may review the athlete’s information or ask us to delete it at any time. We do not knowingly let a child under 13 create an account without a parent. We keep a durable record of each consent: who signed, the version of the document they agreed to, and when, so that the approval trail is always clear.
The recruiting mailbox is monitored and shared
Every athlete gets a dedicated recruiting address on our mail domain (for example, jordan.ellis@mail.scoutbridgesports.com). We want to be very direct about how it works, because it is central to the service:
- The mailbox is operated and monitored by ScoutBridge staff. A real person on our team reads incoming coach replies and sends outreach from this address on the athlete’s behalf.
- The mailbox is fully visible to the parent and the athlete. Both can read every message we send and every reply that comes back, in full, whenever they like.
- It is a working recruiting address, not a private personal email account. Families should not use it for confidential or unrelated correspondence, and should assume that everything in it is visible to our staff and to the account’s parent and athlete.
Every time a member of our staff reads or acts on a minor’s mailbox, we log it internally, recording who did what and when as an accountability measure.
What we collect
We keep the information we need to run recruiting outreach well, and no more:
- Account information: parent and athlete names, email addresses, and phone numbers used to create and secure the accounts.
- Athlete profile: graduation year, sport and positions, height and weight, GPA and test scores, high school and club team, city and state, a short bio, and an optional photo. This is the material coaches ask to see.
- Recruiting materials: links to film, schedules, and transcripts the family chooses to share.
- Outreach records: the messages we send, the replies coaches send back, and simple delivery signals such as whether a message was delivered or opened.
- Billing information: handled by our payment processor, Stripe. We store a customer and subscription reference and the status of the subscription; we never see or store full card numbers.
- Basic technical information: the standard log and device data any website receives, used to keep accounts secure and the service working.
How we use it
We use family and athlete information to run the recruiting outreach the parent signed up for: building the athlete’s profile, contacting appropriate college programs, sending the film and materials coaches request, following up, and showing the whole thread back to the family. We also use it to operate accounts, process the subscription, provide support, keep the service secure, and meet our legal obligations.
We do not advertise on your athlete’s data
ScoutBridge does not sell athlete or family information, and we do not run advertising against it. We do not feed your athlete’s profile into a data network for other companies to mine, and we do not share it with third parties except the service providers we need to actually deliver the product, for example our email provider to send and receive mail, our payment processor to run billing, and our hosting and database providers to run the site. Those providers act on our instructions and are bound to protect the information. We may also disclose information if the law requires it, or to protect someone’s safety.
Outreach itself, of course, goes to college coaches: that is the point of the service. The athlete’s recruiting profile and materials are shared with the programs we contact on the family’s behalf.
The coach directory
To run outreach, ScoutBridge maintains a directory of college programs and coaching-staff contacts. This is professional, role-based contact information, the kind of publicly listed athletic-department details a program uses to receive recruiting inquiries. We use it only to send appropriate outreach on behalf of our athletes, and to keep the directory current as coaches change jobs. We do not sell this directory.
If you are a coach and want your information corrected or removed, email coaches@scoutbridgesports.com. We will honor removal requests promptly and stop sending you outreach.
How long we keep information, and how we protect it
We keep account and outreach records for as long as the family uses ScoutBridge, and for a reasonable period afterward so that a returning athlete’s recruiting history is intact and so we can meet legal, accounting, and dispute-resolution needs. A family can ask us to delete their information sooner; see the next section.
We protect information with a security program appropriate to its sensitivity. Access to the database is restricted to server-side systems. The app never exposes the underlying data tables directly to a browser, and administrative access to a minor’s mailbox is limited to authorized staff and is logged. Data is encrypted in transit, and we work with established infrastructure providers (our hosting, database, email, and payment partners) that maintain their own strong security practices. No system is perfectly secure, but we take this seriously and will notify affected families and regulators of a breach as required by law.
Your choices and rights
A parent can review or update the athlete’s information at any time from the account, or by writing to us. You can ask us for a copy of the information we hold, ask us to correct it, or ask us to delete it. You can cancel the subscription whenever you like. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR; we honor those rights and never charge you for exercising them. Changes to this policy
If we make a significant change to how we handle information, we will update this page and, where appropriate, tell families directly. We will keep prior versions on file so the history is clear.
